V4A TRAINING COORDINATOR

Position Summary

The V4A Training and Program Coordinator role is primarily responsible for the coordination of the V4A training series for V4A. This is a part-time, contracted position with V4A. There are no benefits.

Duties

The Training Coordinator position is responsible for planning, preparing and coordinating activities required to conduct the annual V4A Training Series in a combination of in-person and webinar format programs. 
 
  • Work collectively with Area Agency on Aging (AAA) staff
  • Develop a schedule of trainings for the program year, including in-person events and webinars;
  • Secure qualified trainers;
  • Work with trainers to identify objectives and agendas and make these available to V4A in advance of the scheduled presentation, in the timeframe requested;
  • Work with trainers to identify equipment and supply needs, and to prepare materials for distribution at or before trainings, as arranged;
  • Work with trainers on encouraging participation and addressing learning needs of participants;
  • Be present at trainings to support flow of program and participant engagement, including addressing content questions and application to work in the field.
  • Secure site arrangements for scheduled series; confirm room set-up and equipment plan for each event with site personnel.
  • Schedule webinars on GoToMeeting. Provide technical training/practice sessions for “hosts” and trainers ahead of time.  Provide webinar operation for live event.
  • Support publicizing of training program and registration information to audience identified by V4A.
  • Communicate with training registrants to provide relevant information in advance of, and in follow-up to, each training.
  • Develop participant evaluations/surveys to identify learning needs, indicate how well the training met goals and objectives, and to collect input for future planning.  Administer surveys to registrants and deliver a digest of survey responses for each training to its organizers and trainers.
  • Be present at trainings to set up equipment and materials, and to respond to on-site requests or issues from trainers and participants.  Access support from site personnel as needed.
  • Track and document participation at each training; produce documentation of attendance for participants and sponsoring agencies upon request.
  • Assist with troubleshooting regarding registration/changes, attendance and payment reconciliation, as requested.
  •  Prepare summary reports (half-year and final, or as requested) to document:
    • Training topic and location;
    • Number of participants attending; and
    • Suggestions for future training and/or modifications to current trainings.
    • Attend planning and supervisory meetings as scheduled.


Education, Experience and Skills
  • Minimum Bachelor’s degree in Human Services or Business Administration or related field.
  • Must be a self-starter and problem solver, able to multi-task, dependable and enthusiastic
  • Strong interpersonal and writing skills
  • Experience in coordination of events
  • Experience in using online platforms for webinars, conference calls
  • Skilled in email, social media, spreadsheets, and, technology 

Must be willing to travel throughout the state for meetings and trainings. Willing to work remotely or in-office.
